Refund & Cancellation Policy
Hostel Booking Cancellation & Refund Policy
At Aaalay Student Housing, we strive to maintain transparency in our accommodation booking process. Please review the following refund and cancellation terms carefully before confirming your booking.
1. Booking Amount
- The booking amount paid at the time of reservation is non-refundable under all circumstances.
2. Cancellation Request Process
- All cancellation and refund requests must be submitted through the registered email ID to the official hostel administration email.
- Requests submitted through phone calls, WhatsApp, or any other mode will not be considered.
- Valid reasons for cancellation must be clearly stated and supported by relevant documentation, wherever applicable.
3. Refund Eligibility
- Refund requests will be considered only before hostel onboarding and subject to approval by the hostel administration.
- Once a student has completed onboarding, occupied the room, or commenced hostel stay, no refund of hostel fees will be applicable under any circumstances.
- Students who cancel their admission or discontinue their stay after onboarding remain liable to pay any pending installment amounts as per the agreed fee structure.
4. Security Deposit
- The security deposit is subject to hostel policies and may be adjusted against outstanding dues, damages, penalties, or repair charges.
- Any eligible security deposit refund will be processed only after completion of exit formalities and clearance of all dues.
5. Refund Processing Timeline
- Approved refunds will be processed within 45–60 working days from the date of approval and completion of all required formalities.
- Refunds will be credited to the bank account provided by the student or parent during the refund application process.
6. Refund Denial Conditions
Refund requests will not be approved in the following cases:
- Hostel cancellation due to late admission or delayed joining.
- Student has already onboarded or occupied the hostel accommodation.
- Expulsion or removal due to disciplinary violations.
- Submission of incomplete, incorrect, or unsupported documentation.
7. Damage & Outstanding Dues
- Any outstanding hostel fees, penalties, damages, repair costs, or other dues will be deducted before processing eligible refunds.
- Damage charges will be assessed by the hostel administration and adjusted accordingly.
8. Exit Formalities
- Students vacating the hostel must complete all prescribed exit formalities and submit the required exit form.
- Failure to complete the exit process may delay or affect refund eligibility.
9. Management Rights
- Hostel management reserves the right to review, approve, reject, or modify refund requests based on policy compliance and supporting documentation.
- The management’s decision regarding refund eligibility shall be final and binding.
